  • Admissions Records
    • Students come into Veracross as a Prospect after the inquiry
    • An application record must be created to change a student over to an applicant
    • The application is added when the family fill out and submits the application or it is manually added
  • Is it possible not to use the language form, and only use the admissions candidate form with a question about languages?
    • Yes, but the data only shows up on the webform result
    • You can see this on the submission data tab of the candidate record
    • You would lose the information being on the language form of the Student Record
      • This is only collected through the system form
      • This is the same for citizenship
      • You can still query on it, but it does not live in the tabs on the student record
  • How do you manage a new inquiry when a person has inquired the previous year?
    • If the person has an account on file, the admission portal will stop the inquiry
      • The person will be directed to go back and apply for the new year
    • If they family uses a different email, this will not be caught
      • The inquiry records can be merged
  • A student decides not to apply this year, but will reapply next year
    • Do not change the year applying for on the general field
    • Go to the record
    • Go to the Action menu
    • Choose to move the admission record or copy the admission record forward one year
    • Demographic data will always be present
      • Excluding the webforms allows the student to fill out the additional application information again
      • GCDS most likely will not copy the webforms unless there is an extenuating circumstance
    • If the person has applied more than one year in the past, you will have to move the record forward one year at a time
      • Example: if a person applied in 2017, you would move the application 4 times to move from 2018, 2019, 2020, and 2021
    • A student could also fill out a new application
      • Family would log into the portal
      • Go to Candidates
      • Click + Add a New Application
      • Choose the school year
      • Click Add New Registration
  • An admission Counselor can be assigned to a student
    • Go to the admission record
    • Choose the Admission Counselor from the drop down
    • You can change the query to have the Admission Counselor added and summarized by
      • This shows how many students each counselor has assigned to them
  • Feeder Schools
    • Can be collected on the inquiry on the candidate record for the current school
    • The feed school collection can be populated from there
    • The organizations have to be added one at a time
  • Interviews
    • An application record has an Interview tab
    • You can add the interview notes with date and interviewer
    • Notes are visible to the entire committee
  • Visit Notes
    • Can use the events tab and add an event of School Visit
    • You could use the notes tab
    • You could use a recommendation form, but Jamal does not endorse this one
      • The checklist item would be marked as not showing to family
      • The form would be sent to the teacher, which can be done through the action menu
  • Webforms that have been completed are displayed on the embedded query on the Admissions: Candidate Changes homepage
    • You can open the record of the submission by clicking the pop out box
    • You will see who filled out the submission
    • You will see for whom the record was filled out
    • You can view the webform of the submission
    • Originating submission – the webform is telling you about the flow of the submissions
      • You can click the pop out button to go to the previous webform
      • If the mother’s information errors, then the submissions will be staged (or held)
      • This are listed on the Errors with Dependent Submissions query
      • The submissions will also be flagged in red on the Recent Activity embedded query
      • Once these are fixed, the submissions will automatically go through
        • Parents will see the corrections, but not be alerted to them
      • Parents can also correct these items
