Send an Email Through Composer

54 STEPS

1. The first step is to open Axiom and click Launchpad

2. Click Communications

3. Select the appropriate query from the GCDS email group. 

Reminder

Please remember to only use the GCDS email groups that have been created for you.


4. Begin to modify your query as needed.

5. Select any additional fields you may need to use in your email.

6. In this example, I only want to send an email to OCR divisions, so I am going to filter by School Level

7. Set the criteria if you need to do so.

8. Click Run Query

9. Make sure you have everything you need and that the data is accurate, then click the Actions icon

10. Scroll down and click Send an email

11. Select a channel (similar to a category)

12. By default, you have access to the default merge fields (name, address, etc.) If you brought over any special merge fields in your query, choose Query Results to be able to access them in Composer.

13. Click Prepare recipients

14. Click Launch Composer → when ready. This is sending your query data out of Axiom and into Composer.

15. You have several options to begin building your email. Click start from scratch to create something new.

16. Click Start From Template to start from a pre-defined template.

17. Click Copy a Sent Email to copy an email that you sent previously in this channel.

18. Click Resume Draft to keep working on a draft you already started.

19. For this example, I am going to click New Email

20. Write the subject line of your email

21. If you wish to include preview text, include it here, otherwise, leave it blank.

22. If you are the one sending the email, choose "Myself" as the sender type. If you are sending it on behalf of someone else, choose "Custom".

23. Choose Drag and Drop

24. Click Continue →

25. First, choose a theme. This is the header that your email will use.

26. Emails are composed of Sections. Drag and drop the sections you need onto your email canvas.

27. You have several options with each section block. You can Reorder the Section and move it up or down.

28. You can edit the section.

29. You can Copy Section

30. You can delete the section.

31. Let's edit this Header block I dragged out onto the screen. Click on the block to make it active.

32. Adjust the text on the right sidebar.

33. This is also where you can choose the color.

34. You can change the way the text is formatted by clicking one of the options available on the sidebar.

35. For this example, I would like to use merge fields to customize each email.

36. Click Available Merge Fields to view the fields you have available to you.

37. Click Query Results to find the data you gathered when you first ran your query.

38. I would like the email to say, "Welcome, (first name of student)!" First, I found the merge field in the previous step. Now, I add it to the text of the email by writing {data:first_name} (no spaces, all lowercase)

39. Click Done to save your text block

40. I'd like to add a regular text block now. With your mouse, click and drag Text, then drop it on the main content area

41. I'm going to Center my text block

42. Now I can edit my text. I can use merge fields here, too!

43. When you start typing {data: in this block, it begins to give me the fields I can choose. I'm going to choose current_grade_description.

44. I'm going to do the same for school_level_description to include the name of the division in my email.

45. Click Done as you did before when you're done editing the content block.

46. Click Next → to move onto the next step.

47. Now we are going to select our recipients. Remember, we started with a Students query, so the default recipient list will include students.

48. Since I want to target the Parents/Guardians of those students, I'll click Parents/Guardians

49. I can manually include/exclude recipients if needed

50. Click Continue →

51. Now you can preview your email as your recipients will see it. Notice how the merge fields have populated now with real information. I can go through all of my recipients to see what they'll see.

52. I can send a test email to someone if needed.

53. When you're ready, click Next

54. Scroll down and review all of the information listed. If you're sending an email with links, click Track Clicks. When you're ready to send, press Send Now.
